1. Who we are. RMHR LLC, doing business as The Best Damn Coffee Roasters, 297 Townline Rd, East Northport, NY 11731. This policy explains what information we collect when you use our website, store, or wholesale portal, and how we handle it.

2. What we collect. Information you give us directly: name, email, shipping address, phone number, business details (for wholesale accounts), order history, and messages you send us. We do not collect more than we need to roast, ship, bill, and talk to you.

3. Payment information. Card numbers are processed by our payment providers and are never stored on our systems. For wholesale accounts we keep records of invoices, payment status, and payment method (e.g., check, ACH, Zelle) for bookkeeping.

4. How we use it. To fulfill and deliver orders, manage your account, send order updates, calculate sales tax, invoice wholesale partners, respond to messages, and — if you opt in — send occasional emails about new roasts and offers. You can unsubscribe from marketing at any time.

5. Cookies & local storage. Our site stores small amounts of data in your browser (such as your cart, saved member info, and login session) so the site works smoothly. We don't use this data to track you across other websites.

6. Sharing. We never sell your personal information. We share it only with the services needed to run the business: payment processors, shipping carriers (to deliver your order), and our email service (to send messages you've asked for). Each receives only what it needs.

7. Photos & social. If you share photos with our products and give us consent, we may repost them on our social channels with credit. Ask us to take one down and we will.

8. Retention. We keep order and invoice records as long as required for accounting and tax purposes. Account data is kept while your account is active; ask us to close your account and we'll delete what we aren't legally required to keep.

9. Your choices. You can view and update your information in your account, change your password, unsubscribe from emails, or ask us for a copy or deletion of your data by emailing bestdamncr@gmail.com.

10. Children. Our products and site are intended for adults. We don't knowingly collect information from anyone under 13.

11. Changes. If we update this policy, we'll change the date above and post the new version here. Material changes will be announced to account holders by email.

Wholesale Terms & Conditions.

1. The Agreement. These terms govern wholesale purchases from RMHR LLC, doing business as The Best Damn Coffee Roasters ("we," "us"), by approved wholesale account holders ("you," "partner"). Placing an order through the wholesale portal, by phone, or by email constitutes acceptance of these terms.

2. Accounts & Pricing Tiers. Wholesale pricing is available to approved business accounts only. Your pricing tier is based on trailing order volume and is reviewed quarterly. Tier pricing, discounts, and minimums are confidential and may not be shared or republished. We may adjust pricing with 30 days' written notice.

3. Orders & Roasting Schedule. We roast to order. Orders confirmed by Sunday 11:59pm CT enter Monday's roast and ship the same week. Once an order enters the roast queue it cannot be canceled, since your coffee is already being roasted for you. Changes to a queued order can be requested through the portal and are accommodated when possible.

4. Payment Terms. Approved accounts receive Net-30 terms from the invoice issue date unless otherwise agreed in writing. We accept ACH, checks made out to RMHR LLC, Zelle, PayPal, and cash. Past-due balances may pause new orders and accrue a late fee of 1.5% per month on the outstanding balance. Repeated late payment may convert the account to payment-on-delivery terms.

5. Shipping & Delivery. Wholesale orders ship free within our standard delivery area; remote or expedited shipments may carry a delivery fee shown on the invoice before payment. Risk of loss passes to you on delivery. Please inspect every shipment on arrival.

6. All Sales Final & Quality Claims. Everything we sell is roasted and packed fresh to order, so all sales are final and we do not accept returns. If a shipment arrives damaged, short, or wrong, notify us within 5 business days of delivery and we will replace the affected product or credit your account — our choice, your satisfaction. Claims after 5 business days are handled case by case.

7. Freshness & Storage. Our coffee is roasted the week it ships. For the best damn quality, store sealed bags in a cool, dry place away from direct sunlight, and use within 90 days of the roast date. We are not responsible for quality degradation caused by improper storage.

8. Brand & Resale. You may resell our packaged retail products as delivered. You may not rebrand, repackage, or alter our products or use our trademarks, logos, or product photography beyond normal menu and shelf presentation without written permission. Private-label arrangements are governed by a separate agreement.

9. Portal Use. You are responsible for activity under your portal login. Keep credentials confidential and tell us promptly about any unauthorized use. We may suspend portal access for misuse, non-payment, or suspected fraud.

10. Liability. To the maximum extent permitted by law, our total liability for any claim arising out of a wholesale order is limited to the amount you paid for that order. We are not liable for indirect, incidental, or consequential damages, including lost profits.

11. Force Majeure. Neither party is liable for delays caused by events beyond reasonable control — including crop failures, carrier disruptions, severe weather, or supplier shortages. Green coffee is an agricultural product; origin availability can shift, and we'll communicate substitutions before they ship.

12. Governing Law. These terms are governed by the laws of the State of New York. Any dispute will be resolved in the state or federal courts located in Suffolk County, New York.

Wholesale Vendor Agreement.

RMHR LLC d/b/a The B.E.S.T. Damn Coffee Roasters — Payment Terms & Conditions of Sale

This Wholesale Vendor Agreement ("Agreement") governs all wholesale purchase orders placed by the Vendor for roasted coffee and related products ("Products") supplied by RMHR LLC, d/b/a The B.E.S.T. Damn Coffee Roasters (the "Company"), and sets out the payment terms the Vendor agrees to follow. Examples of Vendor accounts subject to this Agreement include, without limitation, coffee shops, restaurants, and related businesses.

1. Orders. The Vendor may submit purchase orders to the Company by phone, email, or the Company's order form, specifying Products, quantities, and requested delivery date. Each order is subject to acceptance by the Company and to Product availability; the Company will confirm accepted orders and provide pricing before fulfillment. The Company may set and update a standard wholesale price list from time to time — pricing in effect at the time an order is accepted applies to that order.

2. Payment Terms. The Vendor agrees to pay the Company in full for each order under one of two options: (A) Due Upon Delivery — full payment due at the time the order is delivered or picked up, or (B) Net 30 — full payment due within thirty (30) calendar days of the invoice date. The option that applies to the Vendor's account will be confirmed by the Company and may be offered or revoked at the Company's discretion based on payment history. Accepted payment methods are cash, checks made out to RMHR LLC, ACH, Venmo, Zelle, or PayPal.

3. Late Payment. Any amount not paid when due is considered past due. The Company may charge a late fee of 1.5% per month (18% per annum), or the maximum rate permitted by law, whichever is lower, on any past-due balance. If an invoice becomes more than fifteen (15) days past due, the Company may place the Vendor's account on hold and suspend fulfillment of new or pending orders until the account is brought current. The Vendor is responsible for the Company's reasonable costs of collection on past-due amounts, including collection agency fees and reasonable attorneys' fees, to the extent permitted by law.

4. Delivery. The Company will deliver, drop off, or make Product available for pickup as arranged between the parties for each order. Delivery may be made personally by the Company, an employee, or a representative, and does not require a commercial freight or shipping carrier. Delivery dates and times are estimates and are not guaranteed. Once Product has been dropped off or picked up, the Vendor is responsible for it.

5. Product Quality & Claims. All sales of Product under this Agreement are final. The Company does not accept returns and does not provide refunds or credits for delivered Product. If the Vendor has a concern about an order, the Vendor may contact the Company directly to discuss it; any resolution offered is at the Company's sole discretion and does not create an ongoing right to returns, refunds, or credits.

6. Taxes. Prices do not include applicable sales, use, or excise taxes. The Vendor is responsible for all such taxes unless it provides the Company with a valid resale or tax-exemption certificate.

7. Term & Termination. This Agreement begins on the Effective Date and continues until terminated by either party with fourteen (14) days' written notice. The Company may suspend or terminate this Agreement immediately if the Vendor fails to pay any past-due balance within ten (10) days of written notice of default. Termination does not relieve the Vendor of the obligation to pay for Products already delivered.

8. Independent Businesses. The parties are independent businesses. Nothing in this Agreement creates a partnership, joint venture, franchise, or employment relationship between the Company and the Vendor.

9. Governing Law. This Agreement is governed by the laws of the State of New York without regard to its conflict-of-law principles. Any dispute arising under this Agreement will be brought in the state or federal courts located in that state.

10. Entire Agreement; Amendment. This Agreement, including any price list or order confirmations issued under it, is the entire agreement between the parties regarding wholesale purchases of Product and supersedes any prior oral or written understanding on that subject. It may only be amended in writing signed by both parties.

Setting up a wholesale account — cafes, offices, retailers:

  1. From the login screen, click "Apply for an account."
  2. Under "I am a...", choose "Wholesale business — cafe, office, retail."
  3. Fill in business name, contact name, email, business type, estimated monthly volume, and a password.
  4. Check the box agreeing to the Wholesale Vendor Agreement, then click Create Account.
  5. The application lands as Pending in the "Wholesale Clients" tab of our Google Sheet — nothing is active yet.
  6. Staff sets the 12oz Rate and 5lb Rate and flips Status to Approved in the Sheet.
  7. An email goes out to the client automatically letting them know they're approved.
  8. The client logs back in with the email/password they created and lands in the wholesale Dashboard — Place Order, My Orders, Invoices, Messages, Account.
